What this app is
Meeting Transcription Bot is a self-hosted Zoom app operated by LTFI Tech, LLC ("we"). At the explicit request of a meeting participant, the app joins a Zoom meeting as a named participant, captures meeting audio, and produces a written transcript for that participant's own use.
Data the app accesses
- Meeting audio — raw audio of the meeting, accessed via the Zoom Meeting SDK after the meeting host grants recording permission in-meeting.
- Participant display names — used solely to label speakers in the transcript.
- Meeting metadata — meeting ID and duration, used to identify the transcript.
- OAuth tokens — where a participant authorizes the app, the resulting tokens are used only to obtain the join authorization (OBF token) required by Zoom. They are stored locally on the operator's machine and never transmitted anywhere except to Zoom.
What we do with it
Audio is transcribed locally on the operator's own infrastructure. The transcript is delivered to a REST endpoint designated by the operator. We do not sell, rent, share, or monetize meeting data in any form. No meeting content is used to train models. No meeting content leaves the operator's infrastructure except to the operator-designated endpoint.
Where data lives
The app runs as a container on infrastructure controlled by the operator. LTFI Tech, LLC operates no central server that receives meeting audio or transcripts. Audio files and transcripts are retained or deleted at the operator's discretion.
Recording consent
The bot announces itself as a participant named "Transcription Bot" and requires explicit recording permission from the meeting host before any audio is captured. Participants are responsible for complying with the recording-consent laws of their jurisdiction; see our Terms.
Data retention and deletion
Because processing is self-hosted, retention is controlled by the operator. To request deletion of any data held by LTFI Tech, LLC itself (limited to app authorization records), contact us below and we will comply within 30 days.
Security
Credentials are stored with restrictive file permissions, traffic to Zoom and the designated endpoint uses TLS, and the app runs in a rootless container with no inbound network exposure. Our general practices are described at opsping.com/security.
Changes
Material changes to this policy will be posted on this page with an updated effective date.
